This is an introduction to how reports work. If you need specific examples for different types of reports, please refer to our other KnowledgeBase articles.
To get started, click on the green plus sign in the reports section.
Next, choose the type of report you need to run. In this example, I will choose a ticket report. After selecting the type of report, click submit.
Next window is the new report window. First thing is to give a name for the report in the name field. Next are the report options. The two file types are PDF and CSV (Excel). Reports can be sent via email, print, save, or just viewed to your screen. Reports can also be scheduled to run daily, weekly, and monthly. Keep in mind that your PC needs to be on with ControlPro open so it can run scheduled reports. The time is in a 24-hour format. For daily reports, all you can set is time. For weekly reports, you can set the time and day of the week (Monday, Friday, etc.). For monthly reports, you select the date of the month to run (1st, 15th, 30th, etc) and the time. If choosing the save option, the folder field at the bottom is where it will save the report file.
If you need to run a report for a certain material, customer, or timeframe, click the search button. It will open a normal ticket search window. There you can filter by customer, material, date, status, or attributes. Once the filters are selected, click the save button so the report will remember them. You can also view or print the report directly from the search screen. This helps if you want to see what the report looks like and what information it contains before scheduling or printing. If you start generating a report, but want to cancel it before it’s finished, click the cancel button.
The next step is to choose a report template. Go to the printing tab and click the green plus sign. Next, click the import template button highlighted in the screenshot below. ControlPro will open a window allowing you to select a built-in template for your report.
In this case, there are three built-in templates for tickets. I’m selecting Ticket Report with inline materials, which gives a breakdown of all materials on each ticket.
After selecting the template, click the green plus sign next to distribution and printing source. This will create a new window below the current one and allow you to select and printer from the drop-down menu. All printers installed in Windows will appear in this list. If you don’t wish to print, click the red trash can icon to the left of the originators drop-down menu to delete the printer instance. When finished, click save.
The next tab is the contacts tab. Here you can set the email address for the recipient of this report. Make sure to check the distribute button to mark it as active. If any listings are left unchecked, they will not receive the report.
That’s it. Next, click the distribute button under the details tab. That will run the report and distribute to its destinations (print, email, view, or save).
